This Privacy Policy explains how Worktrak collects, uses, and protects personal data when you use Worktrak Recruit. We are committed to protecting your privacy and handling your data with transparency.

1. Who We Are

Worktrak is the data controller for personal data processed through Worktrak Recruit (recruit.worktrak.in). For any privacy-related enquiries, contact us at privacy@worktrak.in.

2. Data We Collect

Account and workspace data: When you request a workspace, we collect your name, business email address, company name, and phone number. We also detect and store the country of your signup request using your IP address for administrative purposes.

User data: Names and email addresses of users added to your workspace (recruiters, hiring managers).

Candidate data: Personal information that you or your team uploads about candidates — including names, contact details, resumes, assessments, interview notes, and offer details. This data is provided by you (the Customer) and is processed on your behalf.

Usage data: Log data such as IP addresses, browser type, pages visited, and actions taken within the application, collected automatically for security and operational purposes.

Communications: Any emails or messages you send to our support team.

3. How We Use Your Data

To provision and operate your workspace and provide the Worktrak Recruit service.
To send transactional emails (account confirmation, password reset, system notifications).
To respond to support requests and enquiries.
To detect, prevent, and investigate security incidents or abuse.
To comply with legal obligations.
To send service-related announcements and important updates (you cannot opt out of these while using the service).

We do not use your data or candidate data for marketing, profiling, or any purpose other than operating the service for you.

4. Candidate Data — Your Responsibilities

As a Customer, you are the data controller for any candidate personal data you upload into Worktrak Recruit. We act as a data processor on your behalf. You are responsible for:

Having a lawful basis to collect and process candidate data.
Informing candidates that their data is being processed.
Honouring candidate requests to access, correct, or delete their data.
Complying with applicable data protection laws in your jurisdiction.

5. Data Sharing

We do not sell your data. We share personal data only in the following circumstances:

Service providers: We use trusted third-party providers for email delivery and hosting infrastructure. These providers access data only to perform services on our behalf and are bound by confidentiality obligations.
Legal requirements: We may disclose data if required by law, court order, or government authority.
Business transfers: In the event of a merger, acquisition, or sale of assets, data may be transferred to the successor entity with prior notice to you.

6. Data Storage and Security

Your data is stored on servers located in India. We implement appropriate technical and organisational security measures to protect against unauthorised access, alteration, disclosure, or destruction of data. See our Security Policy for details.

7. Data Retention

We retain your account and workspace data for the duration of your subscription and for a period of 90 days after termination, after which it is permanently deleted. You may request earlier deletion by contacting us.

Candidate data is retained for as long as you keep it in the system. You can delete candidate records at any time from within the application.

8. Your Rights

Depending on your location and applicable law, you may have the right to:

Access the personal data we hold about you.
Correct inaccurate personal data.
Request deletion of your personal data.
Object to or restrict certain processing.
Data portability (receive your data in a structured format).

9. Cookies

Worktrak Recruit uses only essential cookies required for session management and security (CSRF protection). We do not use advertising, tracking, or analytics cookies.

10. Children's Privacy

Worktrak Recruit is a business application not intended for use by individuals under the age of 18. We do not knowingly collect personal data from minors.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or an in-app notice. The "Last updated" date at the top of this page reflects the most recent revision.
